Setup Lost Patient List reactivation campaign

  • Go to My Dashboards

  • Click Lost Patient List

  • Click icon Scenarios image-20241220-030824.png

  • Click New Scenario

  • Click on pencil to change the campaign start and end date

  • Select Custom for the Range. Select the start and end date from the datepicker. Campaigns that run quarterly should have a month added to the end date. For example, three text messages are sent 10 Jan, 10 Feb, and 10 Mar plus 1 month where it ends on 10 Apr 2025. That 1 month extra time allows PD to provide a better campaign outcome to the practice.

  • Click on pencil to change date range when last examined

  • Select Custom for the Range. It will automatically select the start and end dates. This period can be between 12 and 16 months where the patients have not returned to the practice.

  • Delete text “Scenario: “ from the title and we want to show “Lost Patient List” in various places like the admin section and pre-approval email that is sent to the practice.

  • Click the tick to save the title

  • Click Close and wait for the dashboard to reload

  • Check the message for each branch and fix any missing placeholders in the variables section such as text_appointment_link, text_telephone_prefix, text_business_name, etc. In this case, text_appointment_link was missing from Pymble branch.

  • To fix it, add the appoinment link followed by the pipe “|” as shown

  • Click icon Refresh to reload the dashboard report. Check again if the message is correct.

 

 

  • Check the column species that it only contains either “Canine” or “Feline” or both “Canine|Feline”. If a species is not meant to be there add it to the Variable text_species_exclude with a “|”.

  • Check the column firstname that the client is not a rescue organisation eg. “Rspca”. If it is a rescue organisation add the “firstname” text to the Variable text_patient_exclude with a “|”

  • Click on pencil to edit the scenario image-20241220-130404.png

  • Click on pencil of Enable System Campaign. Set the value to 1 to enable campaign (or 0 to disable it)

  • Click Save

  • Click Close

  • Click on Admin > Super-Admin > Campaigns

  • Search for the datahub name and campaign. Click on the Recurring checkbox to allow the repeat of campaign period. The start and end dates of campaign date and last examined date range will be automatically adjusted to the next cycle. In this case, campaign date will be 11 Apr 2025 - 11 Jul 2025 and last examined date range will be 1 Nov 2023 - 31 Jan 2023
